Import Institutional Crosswalk
Upload the standardized institutional crosswalk. The Builder validates the workbook, creates a separate institutional profile, and switches to it after a successful import.
No file selected.
Current Institutional Profile
Institution profiles are stored separately. Switching institutions changes the programs, assessments, criteria/competencies, standards, course IDs, and performance scales used by the Builder.
Manual Rubric Builder
Enter a program name, rubric name, course ID, and the criteria for each rubric. Use Add Another Rubric to build multiple rubrics in one batch.
Choose a program, then choose one of its imported rubrics. Edit criterion/competency rows and standards for the selected program rubric only.
Ready.
Manual Batch Preview
Nothing previewed yet.
Program Names
Edit a Program name without changing its assessments, criteria, scale, student membership, or approved elective relationships.
Assessment / Rubric Definitions
View and edit every imported or manually created assessment/rubric, including its criteria, rubric row text, Program/Course ID mapping, Program-specific standards, and duplicates for other Programs.
Institutional Library
Review the active institution’s reusable competencies and standards in separate library views. Crosswalk-imported and institution-created content remains institution-scoped; rubric-specific criteria and row text are managed from Assessment / Rubric Definitions.
Competencies Library
Reusable institution-level competencies are maintained here for use across assessments and alignment workflows.
Analyze & Report
RubricPort Data is the primary reporting source. Choose the reporting workspace you need. Accreditation, institutional effectiveness, survey analysis, reliability, historical migration, and saved report files remain separate while using the same institution-scoped RubricPort data.
Student Work Evidence & Instructional Improvement
Stage 1 — Select an institution Program and an assessed rubric to locate existing student work. Rubric criteria and actual mapped standards appear below. Later stages will add excerpts, highlights, missing-evidence findings, instructional recommendations and downloadable packages.
Choose Student Work Evidence to load available assessed assignments.
Preview text remains local. Analyze with AI requires an institution-approved provider and explicit confirmation before any student work is transmitted.
Praxis Analysis
Teacher Education Administrator reporting for imported Praxis results. Praxis remains separate from RubricPort assessment-result reports and is summarized here by Praxis exam and Program.

RubricPort Reports
Historical Data Migration / Legacy Import
Administrative transition utility for prior-system assessment history. Historical/external records remain separately identified and never replace RubricPort-native source data.
Historical Dataset History
Previewed and approved datasets are retained here with source, reporting period, status, import/preview date, and importer metadata. Approved records remain separately tagged historical/external evidence; RubricPort-native data remains the primary everyday reporting source.
Assessment & Program Match Review
Validity, Reliability & Fairness
Use separate, method-appropriate evidence for assessment quality. Lawshe CVR supports content validity; internal consistency and Interrater Reliability address reliability; demographic outcome comparisons provide a descriptive fairness screen. RubricPort does not label group differences as bias without additional institutional review.
Content Validity — Lawshe Model
Create a Content Validity Review Group, select the assessment to be reviewed, and assign subject-matter experts. Each reviewer receives an independent secure review link and rates every assessment criterion/item as Essential, Useful but not essential, or Not necessary. RubricPort calculates item-level CVR after reviews are submitted.
Reliability — Internal Consistency
Cronbach's alpha is calculated from completed RubricPort criterion ratings for the selected assessment. Independent double-scoring remains available in the separate Interrater Reliability workspace.
Fairness — Demographic Outcome Review
Compare assessment outcomes across demographic groups using minimum-N suppression. Results are descriptive review evidence, not an automatic determination of bias.
Interrater Reliability
Analyze independently double-scored RubricPort assessments without changing the official primary assessment record. RubricPort reports exact agreement, adjacent agreement, mean absolute rating difference, unweighted Cohen's kappa, and quadratic-weighted kappa for ordinal rubric levels.
Survey Analysis
Survey evidence is analyzed separately from assessment-to-Program matching. Open one survey workspace at a time so growing response lists remain orderly and easy to review.
Demographic Survey Analysis
Review demographic distributions and outcome disaggregation without mixing demographic records with completer instruments.
Program Completer Survey Analysis
Review Initial Program completer results, narratives, and filtered exports.
Advanced Program Completer Survey Analysis
Review Advanced Program completer competency results and narratives separately from Initial Program data.
Demographic Survey Analysis
Assessment Outcome Disaggregation by Demographic Group
Compare completed assessment outcomes across demographic groups. Groups below the selected minimum N are suppressed. Demographic responses are used only as reporting context and never alter assessment scores.
Program Completer Survey Analysis
Initial Program completer responses are analyzed separately from Advanced Program completer data. Response lists display 25 records per page; downloads include all filtered results.
Advanced Program Completer Survey Analysis
Advanced Program completer responses remain a separate reporting stream. Response lists display 25 records per page; downloads include all filtered results.
Institutional Effectiveness / MSCHE
Purpose: Organize institution-wide academic assessment evidence from RubricPort data. This workspace keeps Student Learning Outcomes (SLOs), curriculum maps, assessment measures, multi-year assessment timelines, results, findings, improvement actions, and follow-up evidence together. It is separate from AAQEP, which supports educator-preparation accreditation.
For standalone institutions without a RubricPort Program catalog, create assessment areas here before linking outcomes or importing external results. Existing Programs remain unchanged.
Institutional Data Sharing
Request access to another licensed college's approved assessment summaries. The college must approve sharing. Approved connections can provide read-only assessment aggregates. Individual submissions and groups smaller than five are not shared.
Assessment Cycle
Use the cycle to identify the multi-year assessment period your institution is working within. The dates below organize measures and evidence; they do not alter assessment scores.
AAQEP Reporting
Build the AAQEP Program Specification, Evidence Summary, and Instrument Rationale from the same institution-isolated RubricPort data used by Crosswalk, Submissions, Assessment, and Analyze & Report. Existing assessment calculations are not changed.
1. Accreditation Profile
2. AAQEP Program Profiles
AAQEP reporting category is separate from RubricPort's Initial/Advanced assessment-routing classification.
Student Program Membership Dates for AAQEP Reporting
Enter authoritative Program enrollment dates used for historical AAQEP candidate/completer counts. These dates do not change Primary/Secondary Program membership, and elective rubric access is never included.

3. Reporting Period & Program Specification
4. QAR Evidence Measures
5. Instrument Rationale
Creates one ZIP containing the Program Specification, Evidence Summary, all selected QAR Instrument Rationales, and a RubricPort AAQEP Validation Report for the selected reporting period.
AAQEP workspace ready.
Student Program Membership
Review current or date-filtered Program membership counts for the selected institution. Student and assessor records remain stored only under the current institution.
Ready.
Use the institution's actual semester dates. From/To dates are authoritative; the Semester label is for display only. Leave both dates blank for current active membership.
Student Directory & Import
Students may have a primary Program and one or more true secondary Programs. Elective access is stored separately and never counts as Program membership. RubricPort records each student’s Activation / Import Date when the student is first added. Student name, email, Primary Program, and Secondary Program can be updated later when information changes.
Bulk Student Import: .csv or .xlsx. For historical and AAQEP reporting, use one row per Student + true Program membership with Student ID, Last Name, First Name, Email, Membership Type, Program, Program Start Date, Program End Date, Completion Status, Completion Date, and Activation Date. Legacy Primary Program / Secondary Program(s) files remain supported.
Leave this unchecked when loading or updating roster data only. When selected, RubricPort can send new-student account setup immediately or schedule the bulk release for a future date after add/drop. Existing active accounts are not resent. You can also select students below and send account setup invitations in bulk when needed.
Direct SIS upload: Upload an exported roster from your institution's student information system, then choose Review SIS Column Mapping. RubricPort maps the source columns to RubricPort fields without changing the source system's terminology.
Current Students
Select students below and send their secure RubricPort account-setup invitations now. Students with an active account, an invitation already sent, or an existing scheduled release are not duplicated. For one or two students, continue to use Manage Login.
Archive student records whose scheduled Archive Date is on or before the selected date. Archiving is non-destructive: submissions, assessments, surveys, Field Experience history, training, and reporting records remain stored. Archived students cannot submit new work.
Program Review: Students marked Review must be assigned to a valid institutional Program before they can submit work.
LMS Integration Blackboard Learn · LTI 1.3

Begin Submission
After selecting an assessment above, complete the information below and submit your work to the assigned or selected assessor.
Begin typing the assessor's last name, then choose the matching assessor.
Elective Assessment Access
Electives are courses outside your required Program curriculum that you choose to request. Your request must be approved before the elective assessment becomes available. Once approved, it will appear in the Electives dropdown below for submission.
Elective Approval Requests
Review elective requests assigned to an assessor. Approval immediately adds the specific assessment to the student's Elective Access; it does not add the student to the elective assessment's Program, and no additional RubricPort administrator approval is required.

Field Experiences
This workspace is dedicated to field-experience operations. Institution Administrators and Staff Assessors can manage Clinical Supervisor evaluations of Teacher Candidates, Clinical Educator evaluations of Clinical Supervisors, Teacher Candidate journals/lesson plans, assigned forms/surveys, and Manual Assessments. Staff Assessors retain their normal assessment capabilities while also receiving Field Experiences access.
Staff Assessor scope: Staff Assessor is an employment classification for non-faculty assessors. Field Experience access is granted by area. Video recording/auto-recording creation remains Administrator-only.
Teacher Candidate Forms & Surveys Library
This is the central Teacher Candidate Field Experience form library. Only Administrators can create or edit library-managed form/survey content. Workflow-linked instruments remain tied to their dedicated evaluation workflow. Authorized Staff Assessors can view approved forms and use them in the appropriate sending workflow, but cannot alter institutional wording or questions.
Professional Counseling Forms & Surveys
This library supports Professional Counseling instruments for multiple recipient groups, including students/trainees, graduates/alumni, Site Supervisors, and employers. Only Administrators can create or edit form/survey content. Authorized Counseling Assessors can view approved instruments but cannot alter them.
Clinical Placements & Supervisor Evaluations
Import Clinical Supervisors with the Teacher Candidate they evaluate. Clinical Supervisors do not log into RubricPort. Each Clinical Supervisor/Teacher Candidate placement can receive three separate Clinical Evaluations at scheduled points during student teaching.
Clinical Supervisor & Teacher Candidate Placement Import
Clinical Evaluation Scheduling & Sending
Review each placement and independently schedule or immediately send Clinical Evaluation 1, 2, and 3. Each evaluation has its own send date/time, due date, status, and secure no-login link.
Clinical Educators & Clinical Supervisor Evaluations
Clinical Educators are the classroom teachers hosting Teacher Candidates. Clinical Educators do not need RubricPort logins; they receive secure links to evaluate the Clinical Supervisor assigned to the placement.
Send Form / Survey to Clinical Educator
Choose the Teacher Candidate. RubricPort automatically uses the Clinical Educator and placement information already stored on that candidate's active placement.
Clinical Educator name and email are stored on the Teacher Candidate placement. Use this button for an existing placement; the recipient fields above remain read-only so sent forms always use the saved placement record.
Teacher Candidate Journals & Lesson Plans
Teacher Candidates submit journal notes to the Clinical Supervisor assigned to their active placement. RubricPort routes the note automatically; the Teacher Candidate does not need to choose a supervisor.
Lesson Plans
Teacher Candidate Forms & Surveys
All Field Experience forms, surveys, and Self-Assessments are sent by a Staff Assessor or Administrator. Teacher Candidates do not browse or initiate these forms themselves.
Praxis Scores
Import the Teacher Education Praxis report and review matched Student scores. The supported import columns are Report Date, Student ID, Test Taker Name, Test Code/Test Name, Test Score, Test Date, Passing Status as of Report Date, Required Score. RubricPort matches Student ID to the Student directory first; Test Taker Name is retained as source context and supports legacy exact-name matching when Student ID is unavailable.

Assessor Training & Certification
Watch the complete RubricPort Assessor Training video. After the video is complete, the 10-question scenario-based certification test unlocks. The certification requires 80% or higher (8/10) and must be completed within 60 minutes once started.
Training Participant
Administrators may preview training for an Assessor. Signed-in Assessors are automatically limited to their own training record.
RubricPort Assessor Training
Watch the complete Assessor Training video. Forward seeking and playback-speed changes are disabled. After the video is complete, the 10-question Final Assessor Certification becomes available.
Final Assessor Certification
The certification test unlocks after the Assessor Training video is completed. Complete it on your own time when ready. Once you start, the 60-minute timer begins and the attempt must be completed in that sitting. The test contains 10 challenging scenario-based questions; 80% (8/10) or higher = PASS. Answers are not revealed during the certification attempt.

Institutional License
The provider license authorizes this RubricPort installation. Each hosted institution also has its own product entitlement: RubricPort Build™, RubricPort Analyze™, or RubricPort Complete™.
Institution Licensing Dashboard
Provider view of product entitlement, term status, renewal timing, billing, and Primary Administrator across hosted institutions. Software Access and Contract Status are intentionally separate controls.
Loading institution licensing dashboard…
Institutional Data Sharing — University Affiliations
Connect independently licensed IE and college workspaces under a university affiliation. Affiliation does not share data or merge institution records.
Current Institution Product Entitlement
Build, Analyze and Complete retain cumulative product access. Institutional Effectiveness Standalone is separate, not an Analyze or Complete entitlement. Changes apply only to the currently selected institution.
Contract Auto-Renewal is informational only. RubricPort never silently extends software access; a provider/System Administrator must confirm the new term. Administrator and Program limits are contract records in this release; enter 0 to use the provider-level allowance.

Renewal Management
Advance alerts are staged at 90, 60, 30, and 7 days, on the expiration date, and after expiration. Notices are sent once per stage to provider/System Administrators and the institution Primary Administrator when configured.
Contract Lifecycle
Commercial contract status is tracked separately from software entitlement. Updating this workflow does not activate, suspend, expire, or otherwise change product access.
Current Contract Status: Current
No contract lifecycle changes recorded yet.
Licensing Audit Trail

Administrator Accounts
The Provider Administrator creates Institution Administrator accounts and assigns the institutional area(s) each Administrator may manage. Active Institution Administrators count toward the Administrator allowance on the institutional license.
Demo Recording
Create a guided presenter recording or run the Demo Auto Tour based on the approved Demo Day Click Sheet. Guided Presenter is for a presenter-controlled walkthrough. Demo Auto Tour follows the prepared demo workflow, including configured demo interactions. Built-In Screen Recording captures the selected RubricPort tab, window, or screen.
1. Guided Presenter Mode
RubricPort moves to the correct area, spotlights the relevant control, and keeps the approved presenter script visible. You control when to advance.
2. Demo Auto Tour
Demo Auto Tour follows the prepared Demo Day workflow automatically. It can navigate, click configured demo controls, and work with prepared institutional demo data. Browser security still requires you to choose local files in upload dialogs and approve browser screen-sharing prompts.
Important: Use only the prepared institutional demo environment when allowing configured demo clicks. For local file uploads, RubricPort can open the file chooser and continue after you select the prepared file; browsers do not allow a webpage to choose a local file for you.
How to Use Demo Recording
- Choose your mode: Guided Presenter if you want to control each step, or Demo Auto Tour for the prepared automated walkthrough.
- Choose a narration voice: the list comes from voices installed in your browser/Windows. Use Preview/Narrate Step to hear a voice before recording. Natural-sounding Microsoft voices are usually the best choice when available.
- For a complete recording: click Start Recording + Auto Tour, choose the RubricPort browser tab in the browser sharing window, and enable Share tab audio so narration is recorded.
- When an upload is part of the demo: the tour can open the file chooser, but you must select the prepared institutional demo file yourself. The tour then continues with the configured demo workflow.
- To pause or stop the walkthrough: use Pause or Stop Auto Tour. To finish the video, click Stop & Save Recording.
- Practice first: run Guided Presenter or Demo Auto Tour without recording until you are comfortable with the sequence.
Built-In Screen Recording
Use the browser capture prompt to choose This Tab, a window, or your screen. If you want the automated narration captured in the video, choose the RubricPort tab and enable Share tab audio when your browser offers that option.
Recording is ready. Your browser will ask what to share before capture begins.
